2. The information we collect
- Contact details — name, email address, telephone number and postal address.
- Financial and tax information you provide so we can act for you — for example income, property, investment, payroll, VAT and company records, and your UTR or National Insurance number.
- Telephone calls — when you call us, our telephone assistant may record the call and produce a transcript and summary so we can respond to your enquiry.
- Booking details when you schedule a consultation through our calendar.
- Basic technical data, such as browser type and pages visited, to keep the site secure.
3. How and why we use it
- To provide our services (performance of a contract) — preparing accounts, tax returns and advice.
- To meet legal obligations — including HMRC requirements, anti-money laundering checks and professional rules set by ACCA.
- To respond to enquiries and calls (legitimate interests) — following up on your message and arranging consultations.
- Occasional updates — only with your consent, which you can withdraw at any time.
4. Who we share it with
We never sell your data. We share it only where needed: with HMRC and Companies House when acting on your behalf, and with trusted service providers who help us run the firm (secure cloud hosting, accounting software, telephone answering, email and calendar booking). They act under contract and may process data only on our instructions. Where data is transferred outside the UK, we rely on appropriate safeguards such as UK adequacy regulations or approved contractual clauses.
5. How long we keep it
Client records are kept for at least six years after the end of the relevant tax year or engagement, as required by law and professional guidance. Enquiry and call records that do not lead to an engagement are deleted within 12 months.
6. Keeping your data secure
We use encrypted connections, access controls and reputable providers to protect your information, and only authorised people can access client records.
7. Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- ask us to delete or restrict use of your data, where the law allows;
- object to processing based on legitimate interests;
- receive your data in a portable format;
- withdraw consent at any time.
To use any of these rights, email info@solutioaccounting.co.uk. We will respond within one month.
8. Complaints
If you are unhappy with how we handle your data, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
9. Changes to this policy
We may update this policy from time to time. The latest version is always on this page.
